In this role, you’ll play a pivotal part in keeping a fast-paced, high-performing team moving forward. You’ll manage calendars, coordinate travel, support the planning and execution of events and engagement activities, maintain segment communication channels, and provide advanced administrative support. This position is based in the Omaha area and will work from Mutual of Omaha’s headquarters as needed.

WHAY YOU'LL DO:

  • Manage multiple calendars independently, including scheduling meetings, reserving conference rooms, and coordinating technical resources, while exercising judgment. 
  • Support event and engagement activity planning and execution to include scheduling, reserving space, ordering catering, and being on-site to assist with setup and ensure event success.  
  • Assist in coordinating travel arrangements and itineraries, liaising with relevant parties, and providing necessary communication. 
  • Handles sensitive information and is able to protect company information while maintaining confidentiality.
  • Support the maintenance of team and segment-wide communication channels, including utilization tracking, ensuring content is up to date, and information is accessible.  
  • Produce business documents, correspondence, training materials, spreadsheets, reports, and presentations using various applications and systems, applying judgment, discretion, and creativity.
  • Provide advanced administrative support for complex business functions, special programs, and projects involving sensitive and confidential information while analyzing situations independently and ensuring compliance and efficiency.

WHAT YOU’LL BRING:

  • Strong business environment knowledge and proficiency with personal computers and multifunctional printers, coupled with advanced expertise in M365 applications such as SharePoint, Viva Engage, OneNote, Outlook, Word, PowerPoint, and Excel. 
  • Exceptional verbal and written communication skills, including proofreading proficiency and the ability to maintain accurate business materials, while fostering effective partnerships with internal and external stakeholders. 
  • Proficient time management and organizational abilities, demonstrating attention to detail, analytical prowess, and decision-making skills, with a track record of troubleshooting and applying innovative approaches to business activities. 
  • Collaborative work ethic, exhibiting approachability and the ability to work independently or as part of a team in diverse environments. 
  • Adaptability to changing work environments, coupled with a commitment to continuous learning, strong multitasking skills, and a demonstrated ability to coordinate business activities or events while maintaining regular attendance, meeting deadlines, and being accountable for results.

  • Ability to work at our home office located in Omaha, Nebraska, in a hybrid environment. 

PREFERRED:

  • Ability to apply a background knowledge of the Company as well as the policies, procedures and practices of the assigned organizational area.
  • Knowledge of the organizational structure and key business partners.
  • 5 years working as an Administrative Assistant.
  • Advance experience managing calendars and proficient with O365.
