Real-Time Benefits Integration: Delivering Results through APIs

Last July, we shared our commitment to completing APIs with our benefits administration partners to improve efficiency, accuracy and the user experience at Mutual of Omaha. We’ve made significant progress toward that goal. Here’s an update.

How integrations are impacting brokers and clients

From the start, our goal was true integration. We worked directly with benefits administration partners to build secure, real-time connections that eliminate manual steps and reduce errors.

  • Simplified plan setup

Plans are configured quickly and accurately, reducing back-and-forth between teams and shortening plan setup time from weeks to hours.

  • Integrated EOI

Employees can complete EOI forms digitally within the benefits administration system, with approval/denial decisions updated in real time. This gives HR teams visibility into status updates and provides a smoother process for employees.

  • Real-time enrollment feeds

Updates are shared instantly between systems, improving billing accuracy and accelerating employee access to benefits.

From weeks to days: How ADP + Mutual of Omaha API Integration improved efficiency for multilocation employer

The client: A car wash with 12 regional franchise locations and over 400 employees

  • Benefit offerings:

Life, voluntary long-term disability, voluntary critical illness, voluntary dental, voluntary hospital indemnity, voluntary short-term disability and voluntary term life

The challenge

  • Lack of fast, accurate plan setup, delayed benefits to employees, and coordination of evidence of insurability (EOI) across multiple locations

This employer has used ADP as its benefits administration partner for the last year. Before the Mutual of Omaha/ADP API went live, the HR staff member in charge of employee benefits faced some challenges:

  • Getting plans set up appropriately in ADP without weeks of processing

  • Distributing paper EOI forms to employees at all 12 locations

  • Monitoring the status of submitted EOI forms in a separate system from ADP

  • Efficient enrollment to ensure employees don’t experience coverage delays

The solution

  • An integrated data connection built to ease implementation steps

To address the challenges of the plan setup, benefits enrollment and EOI processes and provide an easier experience for brokers, employers and employees, Mutual of Omaha leveraged its relationship with ADP.

Together, we developed an API connection between platforms. Plan setup is now automated, ensuring accuracy and providing a much faster experience. EOI is submitted and returned within the ADP system, making the need for tracking down forms obsolete. Benefits enrollment data is sent directly from ADP to Mutual of Omaha and back, ensuring employees get covered accurately and in real time.

Measurable results

Our integrations saved the business time while improving efficiency, data accuracy and employee satisfaction.

Plan setup: Completed in 5 days, previously 6 to 8 weeks

  • 8 to 12 hours of work saved across different teams

    (gathering data, manually inputting, reviewing)

  • Zero configuration errors

(down from an average of eight per group)

Evidence of insurability (EOI)

  • 50% reduction in incomplete EOI applications

  • Decision responses returned an average of five days faster

  • Overall better experience for the employer and employees

Enrollment

  • Real-time employee access to benefits

  • Improved billing accuracy

  • 35% fewer service tickets requesting support with issues and errors

The bottom line

By streamlining plan setup and the EOI process, this multilocation organization achieved faster turnaround times and greater coverage accuracy for its employees. The HR team saved significant time on manual processes and automated plan setup minimized last-minute corrections. The results were quicker and more accurate coverage for employees.

What’s next?

Unfortunately, many carriers still rely on delayed file feeds, disconnected forms and manual interventions — often creating more administrative burden, not less.

We're proud of our deep investment in API integrations that are helping ease the pain points brokers and their clients experience with plan setup accuracy, EOI processing and enrollment timelines.

We’ve made a lot of progress, but we’re not done yet!

We'll continue to invest in improving our existing live connections, while also pursuing API connections with additional benefits administration partners, and expanding capabilities with our current partners.
